We are urgently seeking an experienced AO4 Executive Officer for an upcoming temporary assignment with a Qld Government department. This is an opportunity to work with the lead agency for the provision of human and social recovery support to Queenslanders impacted by disasters.
This position works closely with the Executive Director, undertaking the following roles and responsibilities:
• Provide confidential executive administrative and business support, manage diary, secretariat duties, correspondence, appointments, travel arrangements and overall office management to the branch senior leadership team.
• Manage and support the Senior Executive Officer with managing the office’s shared mailbox, determining priority, initiating action, preparing correspondence and other tasks as allocated (noting probity, discretion and professional conduct).
• Manage and coordinate the task tracking system to ensure deadlines are met, identify emerging issues and trends, and escalate concerns.
• Review responses for accuracy, grammar and syntax, and ensuring responses meet the request.
• Engage with a range of stakeholders, representing the division & executive using a helpful, professional and respectful manner.
To be considered for this position, you should demonstrate:
- Aligned executive administration experience, including demonstrated skills in minute taking, organising travel and executive correspondence.
- Well-developed communication (written and verbal) and interpersonal skills.
- Confidence learning and using technology with intermediate/advanced skills in MS Word and MS Outlook together with competency using MS Excel and MS PowerPoint.
- Fast and accurate keyboarding skills.
- Strong organisational skills with a proven ability to work well in a high-volume environment with competing deadlines.
- Please note that during a disaster activation in Queensland, you may be required to work extra hours and participate in a 5 days on/2 days off staggered casual roster (where your days off may not be Saturday and/or Sunday).
