An exciting opportunity has become available with one of Ipswich’s premier community sporting organisations.  This not-for-profit organisation has fostered development and connections that strengthen our community for over 64 years and the Office Administrator will play a critical role in day-to-day operations.

This is a casual opportunity (approx 30 – 35 hours/week) and flexibility is offered to work between school hours if preferred (Monday to Friday).

About the Role:

Working closely with the President to assist in the execution and management of the strategic plan, day-to-day duties will include:

  • Act as first point of contact for all stakeholders (including players, umpires, coaches, families, volunteers, local government, committee members, sponsors, suppliers and governing bodies).
  • Undertake financial management activities such as processing invoices, banking, account reconciliation and monitoring supplier accounts (using Xero).
  • Develop and maintain robust record keeping systems, asset registers and member databases.
  • Coordinate and manage fixture administration and membership database.
  • Event coordination for carnivals (including court bookings and transport/bus arrangements) and community events.
  • Manage communication strategies, key dates and events for all stakeholders.
  • Execute marketing plan including website updates and social media content, posts and other communication strategies.
  • Sponsorship coordination, engagement, and sourcing.
  • Coordinate grant applications and submissions.
  • Manage uniform orders and stocktake.
  • Maintain an operational understanding of all applicable legislation, regulation and policy and assist in identifying and updating policies and procedures.
  • Undertake administrative tasks (with the support of an Administration Assistant).

This position will be office-based (in Ipswich) and there is no requirement for weekend work.  This is a casual role (hourly rate negotiable based on skills and experience) and will require availability to work 30-35 hours/week (decreasing to approximately 20 hours/week in the off-season from mid November to mid January).

About You:

We are looking for an individual that connects with the positive impacts of community sport to support growth, inclusion and development of this association in the community.  Your application should also demonstrate the following skills and experience:

  • Previous experience in an aligned administrative position that has required well developed interpersonal and communication skills (verbal and written) to support stakeholder engagement.  Experience researching and writing grant applications an advantage but not essential.
  • Accounts payable processing experience with a knowledge of finance systems (experience using Xero an advantage but not essential).
  • Eligibility to obtain a Working with Children Blue Card.
  • High level of proficiency with Microsoft Office.
  • Previous experience updating websites and creating content/posts for social media to support communication and marketing strategies.
  • Demonstrated ability to forward plan, prioritise workload and manage competing priorities to meet deadlines (whilst maintaining attention to detail) is essential.
