About the Role:

Reporting to the Fleet Hire Manager, you will play a key role in supporting the day-to-day administration of the fleet hire function, ensuring vehicles are mobilised on time, customer and supplier accounts are maintained accurately, and operational processes run smoothly.

Working closely with the Fleet and Finance teams, you’ll coordinate fleet administration, customer service and accounts activities, acting as a central point of contact for customers, suppliers and internal stakeholders. This is a diverse role that combines fleet coordination, accounts administration and general business support, making it ideal for someone who enjoys variety and takes pride in delivering exceptional service.

Key Responsibilities:

Fleet Administration

  • Prepare vehicle hire agreements and manage on-hire and off-hire documentation.
  • Coordinate vehicle inspections, servicing, repairs and preventative maintenance.
  • Assist with vehicle mobilisation by coordinating drivers, travel arrangements and third-party transport providers.
  • Liaise with customers, suppliers and internal teams to ensure vehicles are delivered on time.
  • Maintain accurate fleet records, documentation and reporting.
  • Respond promptly to fleet-related enquiries and provide administrative support to operational activities.

Accounts Administration

  • Generate customer invoices, including contract on-charges.
  • Process supplier invoices and reconcile supplier statements.
  • Process and reconcile company credit card transactions.
  • Investigate invoice enquiries and resolve account discrepancies.
  • Process new customer and supplier account applications.
  • Maintain accurate customer and supplier records using MYOB or similar accounting software.
  • Assist with month-end reconciliations and support continuous improvement of accounting processes.

General Administration

  • Coordinate travel and accommodation bookings to support vehicle mobilisation.
  • Provide administrative support across the business as required.
  • Contribute to improving systems and processes to enhance operational efficiency.

About You:

You are an organised, proactive and customer-focused administrator who enjoys balancing multiple priorities while maintaining exceptional attention to detail. You take pride in building strong relationships, solving problems and ensuring every task is completed accurately and efficiently.

To be successful, you’ll bring:

  • Previous experience in fleet administration, transport, logistics, operations or a similar administrative role.
  • Experience in Accounts Payable, Accounts Receivable or general accounts administration.
  • Experience using MYOB or similar accounting software.
  • Strong Microsoft Office skills, particularly Excel.
  • Excellent communication and customer service skills.
  • Outstanding organisational and time management abilities.
  • The ability to work autonomously while collaborating effectively within a team.
  • A proactive mindset with a focus on accuracy, continuous improvement and delivering outstanding customer service.
